Interlibrary Loan

Institutions within and outside Canada that own microfilm readers, such as public libraries, academic libraries, and archives, may borrow microfilm from The United Church of Canada Archives on a patron's behalf. Due to a high demand for interlibrary loan materials, it may take up to two months to respond to requests.

Instructions for Researchers

  • Search ARCHEION * in order to obtain Local Church Microfilm (LCM) reel numbers for interlibrary loan requests. Records descriptions indicate where microfilm is available through interlibrary loan.
  • Use the LCM reel numbers to place an interlibrary loan request through your local library. Exception: The complete Wesleyan Methodist Baptismal Register (WMBR) should be requested by name.
  • Microfilm requests are limited to two microfilm reels per patron. The normal loan period is three weeks (inclusive of mailing), unless extended or renewed by the borrowing institution. The loan period for the WMBR is one month.
  • Microfilm is to remain on the premises of the borrowing institution.

Instructions for Participating Institutions

  • Only microfilm reels with Local Church Microfilm (LCM) reel numbers are available through Interlibrary Loan. The patron is responsible for obtaining the reel numbers by searching our holdings on ARCHEION *. Exception: The complete Wesleyan Methodist Baptismal Register (WMBR) should be requested by name.
  • Borrowing institutions assume responsibility for borrowed material and will be billed if microfilm is not returned to the Archives. The Archives reserves the right to deny interlibrary loans if due dates are not observed and procedures followed.
  • Send requests directly to The United Church of Canada Archives by mail or fax, or by completing the online Interlibrary Loan Request form [PDF: 1 p/255 KB]. The LCM number (or “WMBR”) and the patron’s name must be clearly indicated.
  • Microfilm requests are limited to two microfilm reels per patron. The normal loan period is three weeks (inclusive of mailing). If a borrowing institution wishes to extend or renew the loan period, The United Church of Canada Archives must be notified in writing by fax or e-mail, or by telephone. The loan period for the WMBR is one month.
  • Microfilm is to remain on the premises of the borrowing institution.
  • There are no fees or postage charges for microfilm loans; however, the borrowing institution is responsible for the cost of postage for return of the material to The United Church of Canada Archives.
  • Borrowing institutions returning material from outside of Canada must use the return address label provided with each loan shipment. Microfilm is mailed in reusable cardboard boxes, and must be returned in these boxes. Padded envelopes are not suitable for the mailing of microfilm.
