Annual Plan for Conferences, Presbyteries, and Pastoral Charges

January
Conference
  • Request time at the upcoming annual meetings of Conference.
  • Request Mission and Service gifts from annual meeting and order envelopes.
  • Remind congregations to submit their Mission and Service gifts before the end of the month to the national office.
  • Read January Infopac for the latest resources and newsletter about Mission and Service.
Presbytery
  • Possibly work with Conference office staff to remind congregations to submit their Mission and Service gifts before the end of the month to the national office.
  • Read January Infopac for the latest resources and newsletter about Mission and Service.
Pastoral Charge
  • Ensure the treasurer remits all Mission and Service Fund money to The United Church of Canada as early as possible in January.
  • Mission and Service Enthusiast or Stewardship Committee work with congregation in setting the Mission and Service goal for the present year.
  • Prepare report for annual meeting(s).
  • Pastoral charge accepts the Mission and Service goal for the present year.
  • Assign someone the task of visually tracking the Mission and Service givings in a key location.
  • Plan for an Mission and Service Sunday.
  • Order Mission and Service resources.
  • Mission and Service Enthusiast joins MaST to keep connected with Mission and Service supporters and the Mission and Service office.
  • Plan with minister or worship committee how Mission and Service can be included in some way most weeks.
  • Consider using PAR for regular contributions to the Mission and Service Fund and the local congregation.
  • Plan for a special Lenten emphasis on World Development and Relief and order resources needed.
  • Order Mission and Service Easter envelopes.
  • Read January Infopac for the latest resources and newsletter about Mission and Service.
  • Register a contact e-mail with the Mission and Service office to receive updates and monthly e-news.
February
Conference
  • Review/celebrate the previous year’s givings to the Mission and Service Fund.
  • Send appropriate Mission and Service thank-yous to pastoral charges.
  • Solicit Minutes for Mission stories from Mission support units.
Presbytery
  • Remind congregations to submit their Mission and Service response forms and goals online or to the national office before the deadline on the form.
  • Promote the Lenten emphasis on World Development and Relief.
Pastoral Charge
  • Review last year’s final Mission and Service figures and plan the thank-yous to the congregation.
  • Celebrate Mission and Service Sunday.
  • Make plans for increasing Mission and Service awareness in congregation(s) and groups.
March / April
Conference
  • Share Conference goal with national office and participate in setting national Mission and Service goal for the following year.
  • Review first-quarter Mission and Service givings.
Presbytery
  • Review first-quarter Mission and Service givings.
  • Receive report from national office on Mission and Service goals for your presbytery. Conduct appropriate follow up.
  • Assist in recruiting Enthusiasts for each congregation.
Pastoral Charge
  • Submit completed Mission and Service Response Forms electronically or by mail to the national office by March 31.
  • Review first-quarter Mission and Service givings.
  • Implement the Lenten emphasis on World Development and Relief.
  • Watch for the United Church bulletin catalogue; circulate the book to all necessary personnel/committees.
May / June
Conference
  • Provide an Mission and Service presence at annual meeting.
  • Each Conference annual meeting would accept an Mission and Service goal for the subsequent year.
  • Read the May Infopac for the latest resources and newsletter about Mission and Service.
Presbytery
  • Complete Mission and Service goal submissions.
  • Read the May Infopac for the latest resources and newsletter about Mission and Service.
Pastoral Charge
  • Check that the current Mission and Service Enthusiast will continue, and if not, recruit another Enthusiast for the fall.
  • Read the May Infopac for the latest resources and newsletter about Mission and Service
  • Follow up on the United Church bulletin catalogue; check that the deadline for orders is met.
July / August
Conference
  • Review Mission and Service activities from the first half of the year and then review and adjust plans for the second half of the year.
Presbytery
  • Review Mission and Service activities from the first half of the year and then review and adjust plans for the second half of the year.
Pastoral Charge
  • Prepare a list of readers for Minutes for Mission.
September / October
Conference
  • Plan training of Enthusiasts (ongoing as required throughout the year).
  • Read September Infopac for the latest resources and newsletter about Mission and Service.
  • Provide national with Mission and Service contacts at presbytery level for Mission and Service response forms.
Presbytery
  • Connect with pastoral charges through the Enthusiast to discuss how things are going towards meeting the present year’s objective.
  • Recruit and support Enthusiasts—perhaps gather them for networking or an Enthusiast exchange program from one pastoral charge to another.
  • Connect with UCW presbyterials or other women’s networks.
  • Read September Infopac for the latest resources and newsletter about Mission and Service.
  • Keep Mission and Service and the Enthusiast program before the presbytery.
Pastoral Charge
  • Plan a Mission and Service children’s program.
  • Order Mission and Service envelopes for Thanksgiving and Christmas.
  • Review progress toward Mission and Service objective.
  • Plan for Mission and Service promotion in the final quarter.
  • Plan Mission and Service Sunday (October).
  • If there is a fall visitation planned, encourage the use of Mission and Service promotional materials.
  • Promote the use of resources such as Mandate Mission and Service Special Edition, which outlines the work of Mission and Service and provides accountability information.
  • Plan for a special Advent or Lenten emphasis on World Development and Relief and order WDR resources needed.
  • Read September Infopac for the latest resources and newsletter about Mission and Service.
  • Register a contact e-mail with the Mission and Service desk to receive updates and monthly e-news.
November / December
Conference
  • Review the near-final figures and support presbyteries and congregations in getting the year’s full contributions remitted.
Presbytery
  • Remind congregations to watch for and use the Mission and Service Response Forms.
  • Introduce the World Development and Relief theme and resources to presbytery.
Pastoral Charge
  • Receive the annual Mission and Service Response Form package and make plans for using the resources for goal setting.
  • Order Mission and Service thank-you materials for inclusion with annual statement of givings.
  • Intensify the promotion of Mission and Service and give frequent reports to the congregation(s) on the progress toward the Mission and Service objective.
  • Plan and carry out a White Gift Service with an offering for Mission and Service.
  • Order materials for Mission and Service Sunday in February.
  • Enthusiasts watch for and inform pastoral charge about the Mission and Service Response form.
  • Prepare a list of readers for Minutes for Mission.
